A leader within the Social Media technology industry is looking for an Executive Assistant to join them on a temporary basis for 7 months. The successful candidate will have a minimum of 5+ years administration experience directly supporting senior managers and directors at a PA/EA level

Responsibilities:

  • Providing a high level of administrative and operational support to a leader and a wider team.
  • Assisting with calendar management
  • Booking travel
  • Processing expenses
  • Organising and managing off-site events and activities for the team and wider organisation including coordinating logistics, meals, transportation, onsite activities and invoices
  • Following and maintaining budgets
  • Tracking changes, and manage agendas for multiple team meetings
  • Managing the internal tools and various groups
  • Building strong relationships with different stakeholders such as Facilities, Events, Space Planning, and Security
  • Acting as the main point of contact for team inquiries
  • Taking ownership over desk moves and understanding team space needs and what is required to effect change if needed
  • Collaborating with other admin staff and helping to plan team events as needed
  • Welcoming visitors from global offices and providing an ad-hoc support when needed

Essential Skills and Experience:

  • A minimum of 5+ years recent Executive Assistant experience supporting a Director as well as the wider team
  • BA/ BS or equivalent experience Skills and Experience Director and a wider team
  • Previous experience within the Technology industry
  • Strong calendar management, travel scheduling, budgeting, and project-management
  • Effective organisational skills, with a demonstrated attention to detail and the ability to handle multiple priorities in a fast paced environment
  • Team player with strong interpersonal and communications skills
  • Creative with the ability to generate new ideas and inspire other team members
  • Experience with scaling space management and planning to accommodate regular growth amongst teams
  • Must be flexible and able to quickly react to last minute changes
  • Ability to hit the ground running and take charge of the position
