Our client is a leading insurance / technology business, based in the heart of the City.  They need a temporary Office Manager / senior level support to Directors, to start on Monday.  The booking will be for a period of around 4-6 weeks whilst we carry out the recruitment process to find them a permanent Office Manager - so this could suit someone looking for a permanent role as well.

Main responsibilities will including HR / Office Management and EA duties including:

  • Recording holidays - inputting on calendar
  • Recording sick days
  • Booking meeting rooms
  • Dealing with office managing agents,  cleaners, suppliers etc
  • Invoice/credit note chasing etc
  • Keeping track of calendar - make sure meetings don't clash etc
  • Expenses and bank reconciliation
  • Dealing with IT support company - setting up new users, company leavers (making sure their account is deleted)
  • Updating Staff list
  • Cheques for incentives and refund cheques
  • Looking after Petty cash, going to bank etc
  • Setting up new employees - making sure they have a desk, pc, email account, access to server etc Flight search and booking
  • Hotel reservations
  • Managing diaries
  • Booking meetings, internally and externally
  • Lunch/Dinner reservations
  • Be available on mobile/email for last minute requests
  • Finding recruiters, setting up contracts with correct terms and rebate terms
  • Posting job specs
  • Reviewing CV's
  • Distributing CV's
  • Sending feedback to recruiters
  • Arranging interviews
  • Sending offer letters
  • Sending contracts
