An amazing opportunity has arisen for a talented and experienced Personal Assistant to join one of the UK’s most forward-thinking specialist financial services group supporting their Deputy CEO. In their modern City offices, you will provide executive support to the DCEO, and be true right-hand; you will strive to pre-empt his needs and ensure all of his business matters run smoothly. A strong yet personable gatekeeper, you will manage all internal and external communications and liaison, and be an ambassador for him and the company at all times.

Responsibilities include:

  • Complex diary management ensuring to resolve any scheduling issues efficiently, including ensuring sufficient time to complete priorities.
  • Arranging national and international business travel and accommodation - negotiating rates and preparing itineraries.
  • Organise off-site meetings and events - sourcing venues, managing and monitoring the contracts and budgets, liaising with external providers.
  • Act as a liaison to the Board Directors and Senior Management teams.
  • Managing all incoming correspondence (including emails) and action/delegate as appropriate, ensuring that any delegated correspondence is actioned in a timely manner.
  • Provide quality and timely PA support including PowerPoint presentations and reports, checking work for accuracy and ensuring a high level of confidentiality where appropriate.
  • Provide administration and secretarial support to the teams with the DCEO remit as required.
  • Assist the Executive with managing budget and monitoring spend, as well as managing spreadsheets and processing expenses.
  • Work independently on projects, from conception to completion, with discretion and maintaining confidentiality.
  • Act as the conduit for communication between the DCEO’s department and the wider internal teams and external client base, demonstrating leadership to maintain credibility, trust and support with senior management.
  • Be committed to personal professional development.

Essential criteria:

  • Educated to Degree Level or Equivalent
  • Proven PA experience gained working at Senior Board level.
  • Excellent IT skills including advanced Word, intermediate Excel, advanced PowerPoint.
  • Proven ability to provide excellent administrative, organisational and communication skills with the ability to plan and prioritise.
  • Demonstrate Strong interpersonal skills exercising discretion and diplomacy at all times.
  • Ability to work on own initiative with a highly flexible attitude, whilst maintaining a high degree of confidentiality.
  • Ability to work productively under pressure, whilst maintaining a calm and professional approach.
  • Good time management and the ability to work flexibly to meet the needs of the business.
  • Strong attention to detail.
