Owen Reed are recruiting for a Workflow Coordinator to join a top law firm in Birmingham.
The Workflow Coordinator should have exceptional technical skills including high level of competency in the use of Word, PowerPoint and Excel. Ability to multi-task, maintain confidentiality and work in a fast-paced, dynamic and pressurised environment. The Workflow Coordinator should also have excellent client service and professional communication skills.
Responsibilities of the Workflow Coordinator:
Produce and amend correspondence, documents, reports, deeds, attachments etc.
Transcription, through the use of digital dictation
Document production and manipulation
Accurately interpreting complex fee earner briefs and producing documents
Proof read and quality check all work to ensure that completed documents are delivered accurately
Effectively using systems to prioritise and complete incoming work
Keeping service users updated on the progress of their work
Be consistent and adhere to workflow procedures as indicated by Workflow Supervisor
Manage the workflow to ensure appropriate resource and allocation to meet client deadlines
Review incoming jobs, assign estimates and agree (or renegotiate) deadlines
Ensure BigHand workflow system and DPC inbox is kept up to date at all times
Liaise regularly with internal clients to ensure that work is completed
Ensure that clients are kept proactively informed on progress of documents
Provide excellent professional customer communication
Responsible for highly effective communication and handover between shifts
Ability to assess and identify client's requirements effectively
Ability to build effective and collaborative working relationships
Support administrative and reporting requirements as directed by DPC Manager/Workflow Supervisor
Maintain clear, regular and appropriate levels of communications with the client
Any other tasks as reasonably requested by the DPC Manager/Workflow Supervisor.
