ABOUT

Our clients have always had a key focus on people for their business and as such, they’re looking to expand their team by hiring a People Operations Coordinator to help them ensure they are keeping accurate employee data, benefits and administration across their clients groups. Having just moved in to an incredible new office it is an exciting time to join them! 

A key focus for this role is administration and supporting the wider People Team. As such, you will be required to work closely with the wider People Team to ensure you’re supporting the business in the right way. This is a really varied role covering employee contracts, reporting, data administration, new joiner management, on-boarding of new hires and payroll. You will also work closely with the People Operations Manager to ensure you’re supporting our employees as the first point of contact for benefits information across the agency.

RESPONSIBILITIES

Starter and leaver processes

  • You will be responsible for the new starter process ensuring contracts are correct and on-boarding is enthusiastic and managed effectively. This involves creation of contracts, UK border agency checks and extensions, tracking fixed-term contracts and helping to manage successful candidates before they start
  • You will deliver the new starter induction, conducting background checks (references and eligibility to work in the UK) and training new starters on our people team systems
  • You will take ownership for the leaver process including calculating remaining holidays, liaising with payroll and drafting leaver letters for the People Operations Manager

Benefits

  • Promote available benefits to employees
  • Assist with the different benefit platforms, ensuring these are kept up to date
  • Housekeeping for benefit eligibility – e.g. probation packs

Payroll

  • Liaise with our Payroll team to communicate monthly employee updates for payroll. This includes salary changes, benefit deductions, childcare vouchers, and new starters and leavers

Workday

  • Data management of Workday across the agency.
  • Keep Workday up to date with employee details and employee lifecycle changes
  • Assist with management of all data within the Workday system and own assigned reporting for the business as required
  • Track and report starters/leavers from Workday, ensuring data is always kept up to date
  • Conduct monthly employee information reconciliation

General administration

  • Keep all paper documentation and e-files up to date, with a drive towards a paperless process wherever possible
  • Create new e-files and paper files for new starters and remove them for leavers
  • Create letters for all employee lifecycle changes and contracts
  • Take and distribute minutes at formal meetings where appropriate
  • Assist with the administration of employee probations
  • Assist with the administration of corporate benefits across the agency, including liaising with new providers and bringing their offering into the agency
  • Coordination of the internal talent mobility data

 

SKILLS

  • You will ideally have some HR experience already, or a relevant field (such as recruitment, administration or a data-led position)
  • You will have some exposure or a keen personal interest in working within media, creative or marketing agency environment
  • You must be able to provide support to the wider HR team and business, with strong Excel, PowerPoint and Word skills
  • You will need to be highly organised and deadline-focussed, with a keen attention to detail
  • You should be a compelling communicator – persuasive and confident in your communication and able to relay complex information
