Personal Assistant / Team Secretary

A leading global professional services firm based in Central London is looking for a PA / Team Secretary to support an Executive Director and his team of 10.

The role will be split with 60% support as PA to the Executive Director and 40% support for his team. Must enjoy supporting the wider team at varying levels of seniority.

Would suit someone with a minimum of 2 – 3 years’ experience in a Team Secretary /PA capacity who has worked within professional services and is accustomed to a corporate yet fast paced environment and is looking for the next step up.

The role will include extensive global travel arrangements and dealing with investors and a range of stakeholders so confidence is essential.

Must have experience of arranging global travel, liaising with stakeholders, inbox management, diary co-ordination, and creation of presentations to a high standard.

Key duties:

  • Full ownership of Diary Management for the Executive Director and other Directors within the team
  • Preparing and amending PowerPoint presentations
  • Organisation and booking of business travel through the company’s preferred supplier - flights, train tickets, taxis and hotel accommodation
  • Amending and formatting reports, correspondence and presentations to ensure they are in line with the corporate standard
  • Business cards / contacts management; maintenance and management of records
  • Answering the telephone for the team as and when required, involves dealing with client queries, providing information, taking messages and fielding calls where appropriate
  • Complete monthly expenses
  • Raising client fee invoices and processing supplier invoices
  • Keeping holiday records up to date
  • Event planning – Liaising and working with other PA’s in the business
