A start-up insurance and reinsurance firm are looking for an Office and Personal Assistant to join them on a 12 month FTC. The successful candidate will have previous experience working in an office support capacity, preferably within financial services. You will work well in a fast paced, high pressure environment and be well presented.

Responsibilities:

  • Welcoming visitors
  • Answering telephone calls promptly and dealing with any queries
  • Liaising with the admin team to ensure constant communication between the front of house and back office
  • Logging and issuing access passes to visitors/staff and retrieve/terminate as required
  • Issuing parking spots and maintaining parking log
  • Sorting mail and organising couriers
  • Updating and maintaining employee contact list
  • Maintaining company calendar with employee travel dates and details
  • Ensuring reception area, meeting rooms, kitchens and supply rooms are kept neat and presentable
  • Ordering and purchasing kitchen and bathroom supplies and branding merchandise as required
  • Book meeting rooms and set up VC as needed
  • Helping with the induction of new starters
  • Assisting the Office Manager with ad-hoc various duties
  • Assisting with the organisation of office functions
  • Co-ordinating the maintenance team for any call outs and maintenance checks
  • Managing invoices, preparing budgets and expenses according to processes
  • Covering for the Office Manager on Friday's
  • Assisting with PA support to Group Financial Controller & UK CFO - diary management, setting up meetings, arranging travel and assisting the Finance team with ad-hoc requirements
  • Managing and maintaining the external and internal website by using WordPress
  • Ordering taxis for staff/visitors and maintain booking records/approvals and provide driver contact details
  • Booking travel and transportation as needed

Essential Skills and Experience:

  • A minimum of 2+ years in reception or administration experience, preferably within financial services
  • Well presented with excellent communication skills, both verbal and written
  • Previous experience using MS Word, Excel, and Outlook required
  • Experience working with accounting systems and managing accounts payable is preferable
  • Ability to work independently and maintain positive outlook even when placed under pressure
