A prestigious US Law Firm is looking to hire a new Marketing Administrative Coordinator/PA to provide support to the firms Global Head of Communications and the Head of Business Development in addition to supporting the coordination and running of the Communications and Business Development functions for the London office.  Responsibilities will include managing diaries, travel arrangements, visas and expenses, supporting the two leaders with their key presentations and projects, taking control over a number of key administrative tasks for the Communications and Business Development functions including helping to pull together the annual budget and then reviewing on a monthly basis, organising and coordinating a small number of important regular team meetings, helping to administer our systems and produce data during our annual remuneration and business planning process and taking responsibility for the various organisation charts, taking responsibility and ownership for a small number of projects including scheduling interviews/meetings and managing timelines for one-off communications and marketing projects, supporting regular communications processes, including new office openings and new partner promotions, and coordinating our forward marketing alerts to partners.  Other duties include coordinating administrative tasks and projects by acting as central point of contact for BD & Marketing queries from the team and the Firm, setting up new joiners on our systems, email distribution groups and be the point of contact for administrative queries from the new joiner and from the GTS access management team, drafting agreements for external consultants and arranging appropriate systems access, assisting with logistics for visitors, internships and work experience requests.  Candidates must have a minimum of 5 years’ experience working in a PA/EA role, with excellent written and communication skills and first-class knowledge of using Microsoft Office systems.
