THE COMPANY:
A world leading reinsurance firm with operations in over 120 countries are looking for an experienced and efficient Executive Assistant to support 3 established Head of departments within their Claims team. The position will offer global exposure and an opportunity to work for a diverse and highly successful organisation.

THE ROLE:
  • Extensive diary management. Arranging meetings and monitoring diaries to ensure best use of time and avoid conflicts, giving special consideration to travel/time zone.
  • To organize and coordinate internal and external meetings and any events
  • Prepare meeting, events and seminar materials sufficiently in advance
  • To prepare agendas, attend meetings as necessary and take minutes/actions, distributing them in a timely manner and providing follow-up
  • Extensive travel arrangements in coordination with the other EAs across the world. To arrange complex international travel and logistics across world time zones.
  • Ensure that detailed travel itineraries are provided and diaries are updated as necessary
  • Co-ordination and submission of expenses in a timely manner
  • Inbox management and escalate emails as appropriate
  • Provide support to the team with budgeting and monitoring of expenses and contractor costs
  • To prepare memos, presentations, reports, letters, etc, ensuring that the requirements and delivery timescale are clear and understood
  • Produce and post marketing documentations on the Intranet as and when required
  • Production of quarterly Claims newsletter
  • Provide support on projects required, including:
    • Monitoring and following up of action points
    • Arranging workshops/offsite meetings and logistics around this
    • Creating and maintaining project documentation, including presentations, project issue & risk logs etc

THE PERSON:

  • Proven experience as a Executive Assistant supporting multiple individuals and conflicting priorities
  • Experience gained within the Insurance / Reinsurance industry would be a strong advantage
  • Proven experience working on a global scale and across different time zones
  • French language skills are desirable but not essential
  • Trustworthy and able to act with tact and discretion with confidential items
  • Excellent communication skills and ability to build relationships
  • Superior time management and orgnanisation skills
  • Confident with global stakeholder management
  • Willingness to travel if required
  • Advanced user of Microsoft Office packages, experience of MS Visio, Publisher and Project would also be advantageous
