Office Administrator (5 month FTC) – Central London - £23,000 pro rata
The Opportunity
A leading Property Management company are looking for an Office Administrator to join their team in their Central London Head Office on a fixed term basis (5 months).
The role of Office Administrator is vital to the smooth running of the office and company; you will be proactively ensuring that the office is clean, in good working order and fully stocked to allow all other processes to be carried out effectively and expediently.
Main duties and responsibilities
• Responsible for all general office maintenance to include repair, inspection and maintenance of drains, door entry, alarms, maglocks, lighting, periodic inspections, PAT testing etc (list is not exhaustive);
• Monitoring company mailbox and distributing accordingly;
• Sending out fobs as requested, ensuring appropriate authorisation, payment and/or signed forms have been received and logging accordingly;
• Sending out welcome packs to all new leaseholders following either completion or sale with relevant enclosures;
• Booking of couriers as required and logging accordingly;
• Signing out of keys for contractors as required, ensuring they are returned and signed in;
• To stuff and frank all outgoing mail and prepare for Royal Mail collection;
• To log and bank incoming cheques and liaise with finance team accordingly;
• Facilitate the smooth running of the office, to include ensuring supplies of coffee, milk, toilet rolls etc kept to an acceptable level at all times and the office and storage areas are kept tidy;
• Liaise with the cleaning manager to ensure the office is kept clean;
• Maintain stationary store and stock take on a monthly basis –to ensure that supplies are always in stock;
• Carry out stationary orders for sites as required;
• Meet and greet any expected or unexpected persons visiting the premises;
• Empty dishwasher on arrival in the morning;
• Fill and turn on dishwasher before leaving in the evening;
• Keep credit card log up to date following any card payment;
• Binding booklets packs ensuring neat, coordinated and consistent presentation;
• Updating system with basic information as required ensuring information is 100% accurate;
What You Will Need
• Previous office administration experience
• Strong IT skills, especially MS Office
• Good communication and organisational skills
• Smart appearance
