Our client, a renowned architectural firm, requires a Project Administrator / Document Controller to join their firm. This a full time contract until the end of March 2019 and is to start ASAP. Your hours are likely to be 9am to 6pm.
The main duties are:
- Document control and information management, ensuring all information is efficiently uploaded and downloaded and managed correctly
- Preparing documents and submissions to upload using Document Control Management
- Organising, downloading, filing and distributing incoming / outgoing project correspondence
- Organises and files team paperwork; maintaining documents storage
- Organising project meetings, producing a wide range of documents including letters, project related documentation such as reports, schedules, file notes, minutes of meetings, records on spreadsheets and resource charts
- Creating reports in InDesign
- Proof read and edit all outgoing correspondence
- Organise and coordinate online conference calls
- Maintain and coordinate project team schedules, coordinating meetings, team travel arrangements, and meeting facilities
- Take on any other ad hoc tasks relating to project management, as required
- Responding to both internal and external inquiries
- Maintain calendar for the team Senior Leader. Schedule and coordinate appointments, travel arrangements, lunch reservations, preparing expenses for submission to accounting, arranging conferences and seminars
The successful candidate will have at least 3-5 years' experience within an architectural/engineering/interior design firm and/or other and have a good understanding of the processes relevant to a design project and must be confident in document control. You need to have strong verbal and written communication skills with the ability to effectively gather and disseminate information and have confidence to comfortably liaise with managers, consultants and clients. You must have a professional appearance, maintain proper business etiquette, have a typing speed of 60 wpm and be proficient with Conject (document control), Word and Excel. Additionally, you must have intermediate InDesign skills at minimum.
