19 London are working with a UHNWI in the UAE to source a highly professional Private Personal Assistant who is at the top of their game. An exceptionally busy businessman, our client requires around the clock support in all of his personal matters, to ensure his time is freed up to efficiently run his business and enjoy his private life. His right-hand, you will take care of everything to ensure all runs smoothly and be the go-to person for the principal and his family.

Based in the UAE, all relocation costs will be covered, and accommodation provided.

Duties to include but not be limited to:

Property and Household Management (worldwide)

  • Manage all properties, including projects, and be main point of contact for all household matters.
  • Ensure all insurance policies are up to date and provide comprehensive coverage.
  • Manage household staff, including rotas, schedules of work, all HR issues, salary payments, visas, vacations etc.
  • Maintain and manage an extensive collection artwork and wine, including upkeep of inventory.

Private Assistance/Administrative Responsibilities

  • Manage all private appointments for family and friends.
  • Personal shopping and online orders when required, including gift purchasing.
  • Diary Management and scheduling appointments accordingly.
  • Management of address book and contact lists, including sending of birthday and Christmas cards.
  • Manage art collection, insurance and all correspondence with shipments, as well as all paperwork for auctions and bidding proceedings.
  • Manage payment of household bills and expenses.
  • Review policies to achieve cost-effective solutions and negotiate prices.
  • Manage private office expenses, including petty cash and staff budgets.

Travel Management

  • Manage all travel bookings, including family and friends travel arrangements on both commercial airlines and private charters.
  • Research and present travel destinations and holiday packages
  • Process and coordinate visa applications
  • Build and maintain working relationships with travel providers.
  • Flexibility to occasionally travel with family on trips when required.

Event Management

  • Plan and execute parties and events to include sourcing and coordinating caterers, site inspections, logistics and entertainment.
  • Manage guestlist and invitations.
  • Source venues, book restaurants, network, build and maintain relationships with external contacts.

Essential Criteria

  • Bachelor degree in commercial or business discipline.
  • Significant experience in a similar role.
  • A positive ‘can-do’ attitude
  • A willingness to relocate to UAE – plus occasional travel
  • Excellent communications skills – fluent in English (verbal and written)
  • Checkable references
