Description

Our client is a well known, very successful, accountancy firm looking to recruit a permanent Executive Assistant to support the company's Managing Partner. You will also work with the COO and other members of the management board, as and when required.

As Executive Assistant to the Managing Partner, you will be proactive and comfortable working in a fast paced environment with the ability to plan ahead and manage your work in order to meet deadlines. Your duties will include:

  • To fully understand the role and engage in the business agenda of the Managing Partner and support him fully in delivering that agenda.
  • Proactively managing the Managing Partner's diary. Ensuring his diary operates efficiently and the Managing Partner is visible and accessible to the firm and it's wider network.
  • Taking ownership over all the Managing Partner's incoming and outgoing communications and correspondence. (Effectively managing telephone and voicemails, emails, drafting letters/email relies and all paper communications passing through his office, ensuring responses and issue are dealt with appropriately and in a timely manner.)
  • Organising and coordinating meetings and events including quarterly Partner meetings/conferences and the half yearly firm updates to all staff and monthly partnership committee meetings including arranging catering/dining when required.
  • Supporting and owning the activity of the Board meeting process, creating and producing comprehensive Management Board agenda and Board packs to support this.
  • Organising all international travel including flights, hotels and itineraries when required.
  • Organising events
  • Close collaboration with other members of the Executive team, ensuring that as a team they deliver the team's goals.
  • Liaising with clients and their Assistants.
  • Attending meetings, taking and distributing minutes of meetings alongside monitoring proactive delivery of actions between meetings.
  • Project work as assigned by the Managing Partner.
  • Populating and managing key databases ensuring they are kept accurate and up to date with client information and Managing Partner's contact list etc.
  • General administrative tasks - opening post and distributing, photocopying, scanning, filing, order stationery.

Profile

The successful candidate for this role will:

  • Have previously provided Executive Assistant or PA support to senior level Executive (s) either 1-1, 1-2 or 1-3
  • Have previously worked in corporate industries - professional services would be an advantage
  • Have a high level of business acumen and diplomacy when managing various stakeholders, at all levels.
  • Have the ability to handle confidential information with discretion.
  • Be adaptable to various competing demands, demonstrating the highest level of service and response.
  • Be happy networking across the firm and participating in firm wide meetings and events
  • Have excellent planning, prioritisation and time management skills.
  • Have excellent communication and interpersonal skills, with the confidence to liaise at all levels.
  • Have previous interaction with leadership and senior management of clients, external firms and organisations
  • Have good problem solving skills
  • Be able to use your initiative and work under pressure with accuracy and focus
  • Advanced knowledge of Microsoft Word, Excel, PowerPoint, Outlook

Job Offer

On offer is a salary of £45,000 - £50,000 + fantastic benefits package and bonus.
