An exciting, fast-paced not-for-profit is looking for an Office & Executive Assistant to join their team!

This role is a unique, exhilarating and rewarding opportunity to support 2-3 Directors on the Senior Leadership Team as well as being an ally to the whole team. You will be working closely with the operations team to shape the structure of executive support. The company is a not-for-profit, UK based campaigning organisation who campaign to make the UK a better and fairer place. They make innovative use of digital tools to leverage people-power and campaign on a huge range of issues! The company prides themselves on being flexible, nimble, responsive and focused. The team is made up of approximately 40 people and are characterised by their drive and energy for the work they do. They have the ability to pick things up quickly and a passion and pride in their work. The team is decisive, ambitious and happy to take risks. There is a high level of trust amongst the team, which enables them to aim high rather than play it safe. The senior team have varied backgrounds and approaches to their work - you’ll get incredible insight into how they run an innovative and exciting not-for-profit. They are also big believers in the value of investing in staff and their development, meaning that they deliver excellent support by providing an encouraging and challenging line manager as well as training and development opportunities.

Responsibilities: 

  • 80% Executive Assistant - supporting 2-3 Directors on the Senior Leadership Team
  • Developing a trusting relationship quickly and being proactive
  • Managing day-to-day tasks, taking a view on medium/ long term campaigns, projects and planning
  • Ensuring tasks help achieve Director’s priorities, and organisational goals (approaching from an organisational as well as personal perspective)
  • Diary and email management, supporting line management duties (booking 1:1s, reviews, surveys)
  • Facilitating quick and easy communication between the SLT and the wider team
  • Act as an intermediary for services and support such as IT when necessary
  • Help manage external relationships e.g. organisations where a director is a board member
  • Where necessary, booking travel/hotel coordination (domestic & international)
  • Coordinating speaker requests, invitations, training days, interviews, coaching meetings
  • 15% Office Management - taking ownership over the office space to organise and innovate the physical space; creating a vibrant, energising and productive place to work
  • Management of our external suppliers, ensuring tea/coffee stocks never run out, the cleaners have what they need, the kitchen is well organised etc.  
  • 5% Operations Team - working with 4 other members of the Ops team
  • Organising away days for the whole team (venue, dietary requirements, organising times)
  • Providing sick cover where necessary

  • No formal education requirements; willingness to learn and grow
  • Excellent interpersonal skills; a confident, assertive communicator (caring and pragmatic)
  • Able to manage upwards/ downwards and find creative ways to communicate with staff
  • Excellent written communication skills, high level of organisation and attention to detail  
  • Professional, conscientious, self-motivated, proactive and reliable
  • Great initiative and ability to manage workload in the most flexible, reactive and efficient way
  • Able to manage a heavy workload/ conflicting priorities and keep track of all projects
  • High levels of discretion and confidentiality - trustworthy and honest
  • Adjustable and able to manage changing conditions in a very flexible way
  • Proactive and resilient, great sense of humour and comfortable working in a changing/ flexible environment
