Executive Assistant to Global Head (Paris Office), within Global Markets division

This is an excellent opportunity and the successful candidate (who speaks fluent French and English) will possess structure, attention to detail, quality focus, high energy and flexibility to working within a high-paced deadline driven organisation. This individual must be capable of multi-tasking & appropriately handling confidential information. Additionally, this candidate must anticipate the needs of the executive and proactively take initiative to independently solve problems.

This candidate should possess superior interpersonal and communication skills and be able to represent the executive at all levels of the organisation and externally.

Responsibilities:

  • Professionally handling calls
  • Arranging complex domestic and international travel in high volumes
  • Extensive diary management - scheduling meetings and establishing priorities to ensure smooth and efficient running of daily schedules
  • Organising/coordinating team/client dinners/events
  • Regularly interacting with senior colleagues, external clients, Executive Committee members, and Board members
  • Handling expenses using the internal expense management system (Concur).
  • Handling sensitive and confidential material.
  • Take care of a number of daily administrative functions: scanning, printing, submitting technology/facilities requests.

Key Skills & Competencies

  • French and English speaker (fluency required in both)
  • Experience with a large firm, preferably banking
  • Requires excellent interpersonal and communication skills.
  • High attention to detail and strong organizational skills.
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.
  • Ability to handle highly sensitive, confidential and non-routine information.
  • Mature, calm, diplomatic, and professional approach at all times and at all levels
  • Ability to solve problems quickly and efficiently.
  • Highest degree of integrity, professionalism, diplomacy and discretion required.
  • Must have excellent judgment; independent thinker and resourceful.
  • Flexibility - Positive approach to overtime and out of hours working patterns
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook.
