To provide dedicated support to the Directors to ensure all correspondence and administrative tasks are handled efficiently and effectively, thereby freeing up the Directors to remain focused on managing company matters and advising clients. The role requires management of own work schedule and acts as a point of contact for both clients and colleagues. The PA identifies and leads improvements in the Directors’ use of office systems to support them in reaching their targets and strategic goals.

Hours:                  9am – 5.30pm, Monday to Friday

Location:              London, W1

Responsibilities include, but not limited to:

  • Email Inbox management
  • Implementing processes and maintaining office systems including:
    • Outlook calendars and email
    • Data and file management
    • Filing (Business and Personal)
  • Arranging travel, visas and accommodation
  • Planning company social functions
  • Organise introducer events such as race days, lunch presentations, Christmas drinks reception.
  • Scheduling general meetings and appointments
  • Organising and maintaining internal diaries
  • Organise staff review meetings and prepare change in salary letters.
  • Approve staff holiday requests
  • Attending meetings and presentations for:
    • General assistance and ensuring Director is prepared
    • Note-taking
    • Dictation
    • Taking minutes
  • Screening phone calls, enquiries and requests and handling them when appropriate
  • Dealing with incoming email and post and corresponding on behalf of the Directors
  • Liaising with clients, providers and colleagues
  • Liaising with clients and booking financial planning reviews
  • Managing expenses and liaising with Finance Team
  • General administration and working together with support team for projects and overflow from team when appropriate
  • Directors’ personal ad hoc needs and requirements
  • Carrying out background research and presenting findings for specific projects
  • Producing documents, reports and presentations
  • Manage Director’s personal financial affairs
  • Manage use of company Arsenal Football Club tickets

 

 

Candidates must be / have:

  • Strong organisational skills and ability to multitask
  • Self-motivated and self-sufficient with a hands-on approach
  • Ability to work under pressure and to tight deadlines
  • Effective problem-solving approach
  • Flexible and adaptable
  • Positive and enthusiastic
  • Previous PA experience with ability to demonstrate strong organisational skills, thoroughness and attention to detail.  Previous training in Data Protection and knowledge of financial services preferable but not essential.
  • Role would suit a results driven, analytical and tenacious individual who is keen to develop career in Financial Services.
