The role provides professional, proactive and efficient support to the Chairman for an Art Gallery. The primary focus is to be the interface between him and the gallery and to provide full administration support.
Some international travel with the Chairman will be required as part of the role.

Responsibilities include, but not limited to:
- Collating updates for the Chairman on goings on around the gallery, for example, staff changes, sales information, client updates
- Manage and maximise the Chairman’ internal and external profile, including any online profiles
- Building and maintaining excellent relationships with internal stakeholders and key external contacts
- Efficiently manage the Chairman’ business diary and exercise sound judgement in prioritising appointments, deciding whether appointments are necessary or what can be dealt with by the Executive Assistant
- Track progress of the Chairman’s tasks, producing to-do lists, alerting to actions for follow up and proactively resolving issues as they arise
- Conserve the Chairman’ time by reading, researching, replying and re-routing correspondence
- Ensure the Chairman is appropriately appraised of/ briefed for all meetings; liaise across the company to ensure this information is required in a thoughtful and timely way – attend Gallery meetings where necessary
- Plan the Chairman’ time in the UK and abroad
- Be suitably informed to ensure the Chairman attends pertinent/innovative art world events
- Manage the Chairman’ primary email account and diary, ensuring he is fully appraised of his schedule and that it dovetails with his personal diary (managed by his PA)
- Coordinate effectively with PA to ensure seamless link up of both gallery and personal diaries
- Produce tailored international itineraries, based on careful research and liaison with key colleagues; make all necessary travel bookings
- Travel with the Chairman to selected international events
- Complete the Chairman’ gallery expenses on a monthly basis
- Draft documents and correspondence on the Chairman’ behalf
- Complete ad hoc administration and project management as required
- Attend all gallery Private Viewings and associated events
- Regularly review and update (with PA assistance as necessary) the Chairman’ contacts on Salesforce
- Take and distribute minutes and actions from key meetings
- In close collaboration with key colleagues, help develop a strategy to facilitate the Chairman’ sales; complete all pre and post-sale administration
Candidates must be / have:
- Exceptional organisation and prioritisation skills that would be expected in a role of this nature
- Lateral thinking
- Act with utmost discretion at all times
- Diligence and detail focussed, whilst prioritising what information to share with the Chairman
- Experienced in driving solutions proactively
- Anticipation of problems and the ability to get around them
- Excellent interpersonal communication skills, particularly across a company
- Significant gallery knowledge and experience
- Excellent knowledge of the contemporary art world and a desire to expand this knowledge within the international sphere
- Prior experience of support at board level
- Commercially aware
- High level of IT skills: Microsoft Office Suite and Database skills.
