Executive Assistant to the Managing Director 

6-month FTC with scope to go permanent

OVERVIEW:

The Roald Dahl Story Company Ltd (RDSC) manages the copyrights of the world’s number one storyteller - Roald Dahl. The slate of activity that we work on ranges from new publishing, merchandise and digital products to activating major new films, television series and stage shows. The company also develops and drives a range of branded platforms such as the annual Roald Dahl Day and new to market campaign platforms such as Roald Dahl’s Imaginormous Challenge.

The purpose of the Executive Assistant (EA) is to enhance the Managing Director’s (MD) effectiveness by providing top senior level and seamless information management support and representing the Managing Director to others.

In this role, you will be the MD’s gatekeeper and main point of contact.  The MD is incredibly busy, therefore you will need to anticipate and look after his needs as well as promote stability and calmness to his life. You must be flexible; hands-on; strong at multi-tasking in order to produce results; excellent at logistics and rescheduling appointments at short notice.

 

ROLE AND RESPONSIBILITIES OF EA:

  • The EA will manage the MD’s complex diary and appointments, ensuring effective use of time and preparation of papers and information in advance, including short bio of people the Managing Director is meeting for the first time
  • Organise internal and external meetings and teleconferences for the MD, often across different time zones
  • Some working from home in the evenings particularly when the Managing Director is abroad and therefore in a different time zone
  • Booking national and international travel [including visa requirements], venues and arranging accommodation for the MD
  • Prepare and/or draft correspondence and reports for the MD, as required
  • Light logistical and calendar support of our Strategy Director
  • Taking minutes as required by the MD
  • Assist with the MD’s personal admin as required
  • Provide ad hoc support on projects as required
  • Coordinate personal travel, diary; restaurant bookings; social invitations and look after personal affairs
  • Approve staff annual leave requests

 

KEY SKILLS:

  • Strong, proven track record in supporting high level Executives
  • Flexibility, adaptability and willingness to carry out some work in the evenings
  • The EA will have the ability to multi-task and work well under pressure
  • Ability to work on own initiative
  • Strong knowledge of Microsoft Office and use of Apple hardware
  • Strong written and verbal communication skills
  • Excellent time management 
  • Excellent copywriting skills
  • Ability to maintain high standards of accuracy and efficiency
