Description

Our client is a well known, very successful, accountancy firm, looking to recruit a permanent Executive Assistant to support a 4 Partners. Your duties will include:

  • Full diary management, actioning invites, regular review of diaries, booking meetings/lunches/dinners, room bookings, catering, making arrangements for room set up and video conferencing.
  • Delegating tasks to Team Secretaries or PAs and ensuring these are completed.
  • Ensuring Partners are prepared for meetings - ensuring paperwork, attendee lists, reports, files, are produced.
  • Taking minutes in meetings
  • Organising international travel and producing itineraries.
  • Inbox management & sending communication on behalf of the Partner.
  • Identifies and builds relationships with Partner stakeholders and clients, both internally and externally
  • Project management - taking ownership of large events from planning stage, budgetary control, accounting for quality through to delivery, attendance and post event reporting.
  • Oversees the coordination of events both internal and external, including seminars, conferences, dinners, networking evenings and corporate hospitality.
  • Being involved in the department or firm wide projects or initiatives to improve systems/services etc
  • Being actively aware of client projects, having sufficient knowledge of where in process a job is and alternative contract if required.
  • Liaising with clients and client's Assistant, actively networking wherever possible.
  • Ensure client letters and other correspondence are responded to promptly
  • Ensures and maintains the strictest adherence to both client and employee confidentiality.
  • Proactively works with the relevant Business Development contact and Partners to support the Business Development pipeline, setting up meetings with key client contacts, reviewing activity and taking any actions forward.
  • Coaching of junior support members.

Profile

The successful candidate for this role will:

  • Have previously worked as an EA or PA and supported to Partner or Director level
  • Have an interest in assisting with project work
  • Have excellent organisational, time management and multi tasking skills
  • Have excellent communication and interpersonal skills with the confidence to liaise at all levels
  • Be a good team player
  • Have previously coached or mentored other staff members, encouraging development - would be an advantage.
  • Good IT skills - Word, Excel, PowerPoint, Outlook

Job Offer

On offer is a salary of £42,000 + bonus and full benefits package
