Morgan McKinley is looking for an experienced PA to join a leading Financial Services organisation based in the Canary Wharf area.  The Executive PA will be supporting the Investments division providing full admin support to two Global heads and including additional ad hoc admin support (travel bookings and expenses) to 3 other MD’s within the business area. 

This is a temp contract to start ASAP and will be until the end of December 2018.

Duties and responsibilities will include: 

•       Overseeing all general office and administrative matters in an efficient way.  Entailing answering and screening telephone calls to determine resolution or routing.  Independently scheduling and coordinating senior executive’s time including appointments and meetings. Acting as point of contact for MD and underlying team. 
•       Makes multiple travel arrangements including flight bookings, transportation and lodgings and keeps related records. Independently oversees related expense reimbursements for business travel. 
•       Sort’s mail and written information to determine appropriate resolution and routing. Liaises with internal parties for room bookings, scheduling and planning events and registering visitors. 
•       Schedules and coordinates large and/or complex meetings involving senior-level internal and/or external participants including clients or professional and trade associations.  Anticipates needs and makes necessary arrangements.  May assist with coordination and development of agenda and may attend meetings to record notes and action items.
•       Prepares and types overheads, slides and all related handout materials required for formal presentation to senior-level audiences.
•       Monitors supplies and office equipment to ensure adequate levels and proper operation of machinery.  Interacts with Purchasing and/or outside vendors to arrange for restocking of supplies and equipment service.
•       Establishes and maintain files including highly confidential information.
•       Participates in or leads special projects as requested.  May oversee the project-related activities of others.
•       Communicates well with external counterparties as well as internally. Strong networker and interacts with internal services

Key skills and experience required for the role: 

-       Strong Experience working as an EA or PA in a financial services environment on senior MD level or similar
-       Independent and forward thinking, flexible- and can do attitude. 
-       Good communicator with interpersonal skills, Team player and willingness to adapt. 
-       Time Management and technical skills trained. 
-       Analytical understanding
-       Highly organised and adaptability to changing work load
-       Accuracy and attention to detail
