One of the most innovative and progressive Insurance companies is looking to hire a new Secretarial Team Leader to manage a team of six PA and provide support to two senior Managers.  This role has been described as 60% Secretarial Coordination/Supervisory and 40% PA.  The coordination duties will include being tasked to represent the secretarial team, providing comprehensive support, co-ordination and direction, mentor and develop your team; execute training and career development plans in conjunction with Talent Management, capacity management and planning; ensuring effective management of workload, holiday and sickness cover across the secretarial team, resolving issues across the secretarial team, ensuring effective service; issue & communication management with key stakeholders, deliver annual and interim performance appraisals in partnership with secretaries’ line managers, recruit, select and integrate new Specialty Lines team secretaries in conjunction with Talent Management and organise annual ‘away days’ in conjunction with Talent Management to evolve the professional and personal development of the secretarial team.  Plus, you will be tasked with undertaking Best Practice and Knowledge Sharing, being responsible for the effective co-ordination of Best Practices and Knowledge Sharing across the SL secretarial team, creating a framework for knowledge sharing across teams, rolling out standard/best practices across SL where appropriate, standardising processes where possible and ensuring process efficiency – continuous improvement.  Additionally you will be involved with Committee meeting co-ordination.  PA duties will include being asked to screen and respond to e-mails and telephone calls, provide e-mail management support including: management of meeting requests, organisation & filtering of e-mail, provide diary management support including: arrangement of meetings, acceptance/ declines, act as ‘gatekeeper’ to meeting requests, ensuring adequate time allocation/ travel time for meetings, arrange internal/external meetings and book venues including: distribution of papers/ reports in advance, set up of video/ teleconferencing/ flipcharts, booking of refreshments/ lunch, collate information and produce presentations from PowerPoint for meetings and seminars, co-ordinate with the travel team to make travel arrangements, including booking flights, accommodation, producing itineraries, and arranging foreign currency and passport/visas where applicable, attend meetings and team briefs and take the initiative to identify and resolve problems as they arise to facilitate the smooth running and continuity of business.  Applicants need to have secretarial/PA team leading experience and have been involved in an HR capacity where you have proactively led recruitment, appraisals and grievances.  Applicants need to be flexible and teamplaying with high levels of gravitas both to your team and to the wider company.  Standard hours are 9am to 5pm with offices based a short walk from Liverpool Street/Fenchurch Street/Cannon Street.  Applicants need to have worked previously within insurance, legal, banking, accounting or any other professional services environment.
