Responsibilities
(including key every day and occasional tasks, job outputs and process ownership, decision making authorities, internal / external client responsibilities, (for managers) responsibilities for team(s).
The role provides the opportunity for an individual to grow with the organisation and develop new skills
- Acting as a gate keeper for the Asset Management team which includes the CEO
- Diary management
- Booking travel arrangements and producing itineraries.
- Organise meetings.
- Preparing investor presentations
- General research when required
- Assisting the other team assistant and providing cover when necessary
- Implementing and maintaining systems
- Investor relations support, co-ordinating road shows.
- Being a team player if and when Reception cover is
Required.
- Travel arrangements and hotel bookings
- Overseeing meetings and lunches
- Business card scanning for Contacts maintenance and filing
- Scanning, photocopying and filing (paper and electronic filing)
- Post and misc package despatch (Royal Mail franking and booking couriers)
- Compiling efficient systems whilst ensuring requirements are met
- Creating and updating spreadsheets and various databases
- Ensuring the smooth running of the department including its tidiness as well as the well-being of its team-members and guests
Key interfaces:
Finance, legal and support staff
Requirements:
Education: Minimum requirements - A level.
Level of expertise/experience: Minimum of 2 years working as a Team Assistant for another Asset Management team or similar environment to a Family office/Private Equity house.
Knowledge of systems: Proficient in MS Office tools, esp. Word, Excel and PowerPoint.
Languages: Excellent spoken and written English, preferably with business competence in French.
Personal and business skills: Good communication skills, being able to work as a team player, being flexible in their outlook to work.
Technical knowledge: Avaya phone systems, video conference equipment, binding machines.
Other:
Candidate shall perform services to include, but not limited to, those services more fully described above and anything else in such supervisory and general administrative capacities that is reasonably requested by the Company.
The functional job title may be changed, the Candidate may be reassigned to new or different responsibilities or entity (to the fullest extent provided by law), and the foregoing duties may be revised, supplemented, or replaced at any time, in the sole discretion of the Company.
