Part time Office Manager/PA

Required experience: 5 years +

Salary: £35,000-£40,000 (pro rata)

Hours: Monday – Friday, 10am – 3/3:30pm.

Location: Shoreditch, London, EC2A (Closest stations: Old Street, Shoreditch High Street, Liverpool Street)

Superb career opportunity for an experienced part time Office Manager/PA to join a leading boutique finance company in the hip location of Shoreditch in London. Working with a lively & collaborative team of 30, you will play an integral role in the day to day running of the business.

We are looking for a forward thinking, passionate & motivated individual to run their new offices.

In this role you will enjoy working autonomously within a talented team managing their diaries and day to day office management needs. You will be responsible for the day to day smooth running of the office as well as nurturing the team, supporting their administration requirements.

This role will suit someone who is efficient, flexible & always one step ahead!

You will be an excellent communicator, able to work in a busy and highly pressured environment and love being the lynch pin of a successful and ambitious company.

Responsibilities include but are not limited to:

  • Office management as well as PA duties included.
  • Director expenses.
  • Cover of reception, telephone gatekeeper, taking deliveries, organising couriers, DX and post.
  • Updating of the Office Manual.
  • Dealing with IT support to remedy IT issues.
  • Manage personal and business email and correspondence for Directors and other persons as required.
  • Updating Outlook contacts.
  • Arrange internal and external meetings in UK and overseas together with general diary management.
  • Filing of personal and business information.
  • Screen personal and business calls and direct them to appropriate party.
  • Accommodation, taxi, restaurant, theatre reservations.
  • Management of kitchen supplies ensuring the kitchen is always kept tidy.
  • Other ad hoc duties when required.
  • Close co-operation with other PA staff and support where necessary/ required.
  • Provision of food and refreshments when required.

 

The ideal candidate:

  • Educated to a 2.1 degree level.
  • A nice, calm and personable personality.
  • 5+ years’ experience in similar roles.
  • Hard working with excellent organisational skills.
  • Lots of common sense and a proactive can-do attitude.
  • Someone who is adaptable to different situations and personalities.
  • Someone who isn’t afraid to get their hands dirty!
