Assignment duration: 7 months
The purpose of Event Coordinator role is to provide full time support to the team to ensure the efficient and effective role out of events.
This includes taking full accountability for the administration and logistics of each cadre and event assigned to them, as well as relationship management with Group Leaders and other stakeholders as required between and during events.
Accountabilities:
1 the other members of the team to ensure the highest standard of logistical, administrative and materials support is provided during the programme roll-out (including before, during and after each event).
2 enrolment of Group Leaders on to the programme, including sending programme invitations to Group Leaders to secure their attendance. Monitor cadre enrolments and, in consultation with the wider team, make decisions on whether to hold or cancel cadres.
3 pre-work requirements and the accompanying communications to Group Leaders, ensuring the Group Leaders receive pre-work requests in a timely manner for each event, following up pre-work completion where required, to ensure pre-work is completed on time and to the standard required.
4 highly efficient and effective on-site coordination during the events, supporting the team, the Group Leaders, Executive Team faculty other faculty and other guests as required. This may require working away from home for extended periods of time.
5 relationships with faculty and participants.
6 the venue and various stakeholders to ensure each event runs smoothly and to a high standard. This includes managing the venue before and during each event, ensuring adequate space and rooms are provided. Prepare venue / rooms for each activity and ensure BP health & safety standards are adhered to at each venue, including taking responsibility for the safety moments for each day of the programme.
7 technical aspects of programme delivery, including laptops, videos and cameras, with a tight turnaround time when required.
8 and analyse course evaluations to look for trends and recommend improvements.
9 and maintain documentation for events and create and maintaining standards. Suggest opportunities for efficiency improvement, e. by better delegation of activities (i. between Team and Learning Operations).
10 input and ideas to encourage sustained learning, leveraging technology as appropriate.
