Executive Assistant

£30,000- £37,000 DOE

 

The Henry Jackson Society (HJS) - a fast-growing and dynamic international relations Think Tank - is currently seeking to recruit an experienced Executive Assistant to support the Executive Director.

The right candidate for the EA position will be articulate, interested in ideas, organised, capable of multi-tasking, and generally sympathetic to the principles of the Henry Jackson Society. The position in a fun and dynamic environment with international outreach will include a wide variety of responsibilities and an opportunity to work at the epicentre of this growing organisation. In addition to standard PA/EA activities, the successful candidate will be involved with many diverse and interesting projects ranging from office support and office management, to assisting with proposals and research and high profile private events.

 

Responsibilities for the EA will include:

  • Dealing with enquiries via phone or email
  • Database management and entries
  • Preparing correspondence, speeches and reports for domestic and international meetings and events
  • Research and project assistance when required
  • Diary Management, including international travel and meeting arrangements
  • Event co-ordination/handling mailing and RSVP lists, room bookings and place cards and following up on private invitations
  • Preparing relevant documents and taking minutes at a range of meetings, including quarterly Directors’ meetings
  • Handling personal tasks and projects for the Director
  • Basic bookkeeping and office management
  • General filing

 

Skills required:

  • Minimum two years’ experience as a PA / EA at a Directorate level
  • High level of efficiency and proactive problem-solving
  • IT proficiency for Microsoft Office programmes
  • Flexible attitude to a busy schedule as there will be out of hours working and you will be expected to respond to contact outside of office time in a timely fashion
  • Good spelling and grammar
  • Proven research abilities
