This is great opportunity for someone with 1 year experience in an administration role to a join a well establish Financial Trading Platform based In the City of London by London Liverpool Street St.

KEY ACCOUNTABILITIES:

  • Work closely with EA and PA / assist in any ad hoc duties when they arise
  • Provide cover for PA during absence
  • Meet and greet guests/clients in a professional manner
  • Walk the office floor daily and ensure the office is in a presentable order
  • Maintain relationships with internal and external stakeholders at senior level including Clients and their PAs
  • Field calls and deal with enquiries that come in, in the first instance – directing as necessary
  • Book meeting rooms/check daily that the meeting rooms are in a presentable order
  • Arrange conference calls
  • Collate and prepare documents ahead of meetings
  • Prepare and distribute information packs and presentations in advance of meetings
  • Scanning, filing, printing and binding duties
  • Place stationery orders/keeping stationery areas stocked up daily
  • Ensure printer areas are tidy and stocked with paper
  • Organise breakfast/fruit/drinks trolley orders
  • Daily coffee/lunch runs for Executives
  • Assist with organising small events / dinners within the teams
  • General administration involving all Microsoft Office applications
  • Liaise with desk heads for any ad hoc work if required
  • To fulfil any additional / ad hoc duties as required to meet the needs of the business

PERSON SPECIFICATION:

  • Excellent organisational skills – prioritise work according to deadlines, multi-task, Unsupervised and independently
  • Excellent attention to detail, with strong communication skills
  • Flexible approach to work with the ability to adapt to a range of tasks
  • Plenty of initiative, proactive and highly engaged, with the ability to work under pressure
  • Strong Microsoft Office skills including: Outlook, Word, Excel, PowerPoint
  • High level of integrity and display values in alignment with the organisation’s principles
  • Absolute discretion and confidentiality is essential
  • Team player, with a willingness to take on additional responsibilities and/or new projects
  • Clear communicator, with a professional telephone manner
