My client is looking for an experienced Team Assistant with experience in the Property or Construction sector. You must have at least two years experience offering administrative support to a team of 10 or more. Ideally you will also have previous experience of Personal Assistant duties.

My client is the licensed Infrastructure Provider set up to finance, build, maintain and operate many construction projects within London and the surrounding areas.

Description

The main responsibilities for Team Assistant would be:

  • Providing administrative support and assistance to the Head of the team

  • Owning and updating document templates;
  • Ensuring that key documents are workflow approved and stored on SharePoint;
  • Maintaining and ensuring that the holiday/location tracker is up-to-date at all times, and in-house HR systems are updated as required;
  • Managing the timesheet processes, including ensuring timesheets comply with HR policies, are accurate, receive the necessary approvals, are stored on SharePoint and the team resource tracker is kept up-to-date;
  • Administering both new starter and leaver process, and support the HR new starter / leaver process
  • Maintaining Introduction packs and manage the induction process for all new starters
  • Preparing and submitting expense forms for all team members
  • Managing all team training events and social activities;
  • Maintaining a number of administration and operations trackers, including the emergency contact list and training register;
  • Coordinating meeting arrangements by scheduling meetings with attendees, booking meeting rooms, preparing/ circulating agendas and materials, setting up meeting rooms and equipment, taking minutes, following up on actions and ensuring governance is adhered to;

    The successful candidate for Team Assistant position:

    • Relevant Team Assistant experience - Supporting a team of 10 or more
    • Ideally experience of being exposed to Personal Assistant exposure
    • Experience within working for a Property or Construction company
    • Exceptional organisation skills with attention to detail
    • Strong and confident character
    • Immediately Available
