Brand new PA position supporting the Head of Digital at a global real estate firm

Your new company
This company is one of the largest real estate firms in the world, the role will be based in their city office. You will be supporting the Head of Digital in the brand new position.

Your new role

  • Work in a professional manner maintaining diplomacy and confidentiality in communicating highly sensitive or highly contentious information with people of all levels within the company and elsewhere.
  • Preparing and issuing predefined reports and presentations for both internal and external customers to deadlines
  • Arranging events such as team strategy days, annual meetings, leadership days
  • Scheduling reviews, monthly leadership meetings, meetings and taking and distributing minutes
  • Providing support to the team
  • Proactive diary management
  • Completion of expenses for the Exec
  • Printing and binding documents
  • Dealing with frequent queries from staff and clients
  • Provide support to the Executive Assistants
  • Supporting the organisation of company events
  • Organise and manage diaries, including workload, deadline planning and reoccurring events.
  • Monitor and manage email. Escalate, forward and respond as appropriate.
  • Organise and own filing.
  • Update and circulate organisation charts.
  • Book travel and arrange all associated documents and arrangements.
  • Manage holiday requests and track attendance for the Exec
  • Process expense claims.
  • Prepare on-boarding for new joiners; ordering computer equipment, phone; email set up.
  • Communicate key messages as appropriate.
  • Organise business trips and travel
  • Help and support the Execs team
  • Arranging breakfasts/lunches/dinners for Exec
  • Ensuring you are checking schedules ahead of time
  • Book and organize rooms for internal meetings as appropriate.
  • Make travel arrangements as appropriate
  • Arrange IT/ communication equipment as and when required.
  • Prepare presentations and reports
