A FTSE 100 property firm in central London is looking for a Team Assistant to join a great projects team.
 
 
Job description
The role is to provide full organisational, administrative and secretarial assistance to a team as well as some personal assistance to others in the team. 
 
Key Team Assistant duties:
 

 

  • Diary Management/Organisational Responsibility
  • Liaise, arrange and manage meetings for members of the team, controlling diaries as necessary     
  • Use initiative to prioritise meetings for Managers in diaries
  • Arrange presentations, lunches/dinners and industry attended events
  • Book travel/conferences/meeting rooms/venues/hospitality for meetings and organised events where necessary
  • Support and recognise deadlines for team
  • Financial administration/invoicing duties
  • Customer service - Assist in dealing with queries with customers in the absence of team members
  • Email Monitoring - Monitor/filter emails, drawing attention to urgent requests deal in Managers’ absence if appropriate
  • Telephones/Voicemail Monitoring - First point of contact with customers, both internal and external
  • Correspondence/Documentation Production - Assist in the production of complicated spreadsheets and reports and production of PowerPoint presentations
  • Ad-Hoc - Perform any other duties as may be required from time to time

 
The role will involve extensive calendar management for the project team, hotels, travel, financial administration and being the first point of contact for the Managers. The ideal candidate will have at least 3 years + experience in a similar role within a professional services environment. Must have strong technical skills, be highly organised and a team player.
