A wonderful opportunity has arisen for an Executive Assistant to join a leading boutique investment bank, based in the City. Candidates must have experience in IBD.

Duties include; 

  •  Responsible for diary management, organising meetings, co-ordinating conference calls and ensuring the team’s priorities are met.  
  • Arrange UK and overseas travel and produce accurate and detailed itineraries. 
  • Support the Sellside Process by completing tasks
  • Designated point person for all administration relating to the deal during its early stage
  • Co-ordinate all scheduling, locations, logistics dinners etc. for Fireside Chats, Management Presentations, site visits and Closing Events
  • Enter all relevant deal information into Salesforce 
  • Prepare expense claim forms for signature by the COO prior to submitting to Finance. 
  • Promote excellent client relationships through telephone contact.  Dealing professionally with enquiries, ensuring they are answered promptly or passed to others for attention as appropriate. This includes covering the telephones for the other Assistants and on occasions for staff elsewhere in the Investment Banking Department. 
  • Produce high quality documentation and professionally bound presentations to help secure new business transactions. 
  • General department administration e.g. printing, binding, photocopying.  
  • Input /update data into the company database i.e. Salesforce. 
  • Support visiting colleagues from other offices.
  • Cover for the other Assistants as and when required. 

 Skills required;

  • At least 3 years experience in an Investment Banking Division - essential.
  • Ability to work under pressure  
  • Drive and energy to multi-task a number of activities
  • Motivated by working for a small team and becoming an integral player
  • Excellent organisation and administrative skills
  • Attention to detail, accuracy and the ability to meet deadlines
  • Excellent telephone manner
  • Good timekeeper Accurate proof reader 

Some previous experience as an assistant, preferably within Investment Banking or a similar fast moving/deadline driven environment is desired. This is a brilliant firm to work for; they have a fantastic reputation in the market and low turnover. Great working hours too.
