A Multinational Insurance firm based in stunning offices on Liverpool Street are looking for a Personal Assistant to join their friendly team. This role is a temporary to permanent position, with the company looking to hire the right candidate on a permanent basis. This role will move very quickly with the company looking for someone to start ASAP, therefore prospective candidates must be available immediately. 

Duties include;

  • Extensive diary management for the Fund Manager
  • Booking external meetings
  • Filtering emails and highlighting those that require urgent attention 
  • Sorting post and ensuring that it is dealt with promptly and that invoices are signed off and distributed accordingly and in a timely manner 
  • Being a representative and gatekeeper to the Fund Manager
  • Working closely alongside other PAs within the business 
  • A complete awareness of the Fund Managers time and how it is utilised 
  • Being fully aware of the Fund Managers' diaries and upcoming meetings to enable them to work more efficiently and plan ahead where possible 
  • Booking international flights, visas, trains, taxis, hotels, and restaurants 
  • Arranging complex travel across multiple time zones 
  • Speaking to other support staff/PAs/clients in other time zones
  • Compiling engaging presentations in PowerPoint
  • General administrative duties
  • Screening calls
  • Minute taking 
  • Producing itineraries 
  • Processing expenses 
  • Project coordination 

Skills required;

  • Previous PA experience in Banking or Real Estate required
  • A proven ability of working autonomously as well as working as part of a team 
  • Strong organisational skills
  • Comfortable and confident when liaising with clients and/or external contacts 
  • Good MS Office knowledge 
  • Confident 
  • Team player
  • Ability to manage and work with multiple people and multiple workloads
  • Ability to work in an incredibly fast-paced environment 
  • Strong attention to detail
  • Good grammar 
  • Able to use initiative and be proactive
