Exciting contract EA role for a sought after Private Equity firm based in the West End! The role will go permanent at the end of the contract!
With offices in New York, London and Hong Kong, the company has over 100 employees, however the London office holds around 21 employees. The role is to support the Administrative team.
Role:
- Arrange, confirm and manage detailed calendars; schedule meetings and related logistics
- Manage telephone and email communication, prioritizing emails and corresponding on behalf of direct reports when necessary
- Coordinate complex international and domestic travel including flights, hotel, ground transportation, travel advances and foreign currency. Coordinate necessary passport/visa credentials
- Confirm restaurant reservations, book car service, reserve conference rooms
- Prepare and submit monthly expense reports via Concur
- Maintain business and personal files, scanning and photocopying
- Manage personal and confidential medical insurance claims
- Assist with personal tasks I.e. scheduling doctor’s appointments etc.
- Provide backup support to other assistants covering for vacation and sick time on an as needed basis
- Take on ad-hoc projects as needed
Ideal Candidate:
- At least two-three years of administrative assistant/EA experience in ideally a hedge fund, private equity or private investment firm
- Solid academic history. A graduate is ideal, but not essential
- Advanced Microsoft Office skills
- Concur Expense Manager experience helpful
