Our Client is an established Arts Manufacturers with a rich and prestigious history of creating bespoke art and sculpture pieces for London’s most high profile Hotels and Businesses.

Reporting to and supporting the Joint Managing Directors ( a dynamic brother and sister team) we are looking for an experienced Project Coordinator and Office Manager to be the overall coordinator of the niche team.

Specifically you will offer an ambassadorial welcome to clients face to face or over the phone and prioritise their needs at all times. You will communicate with clients regarding the status of their jobs, update on progress and pass on details accurately with regards to live orders ensuring crucially that change requests are communicated back to the design team and actioned with speed and accuracy.

You will handle the purchase ordering, ensuring all records are up to date, liaise with main suppliers and follow up on delivery deadlines for ordered materials. You’ll manage delivery companies to ensure deadlines are met, coordinate with staff to track the pipeline of the projects, take responsibility for the Costing system and ad hoc projects. You will also undertake some financial  administration duties to include: matching purchase invoices to delivery notes, generating sales invoices for orders shipped and checking and preparing timesheets for the online CRM. You will manage several projects at any one time and so your organizational skills are second to none!!

You are a graduate Office/Project Coordinator with 5 years experience in a similar role. You will be commercially astute, have sound project coordination experience alongside sound academics and an interest in the finer things in life! An appreciation of Fine Art, Galleries & Design is ideal as would be previous experience in a gallery client handling. You’ll be calm , professional, deadline driven with meticulous attention to detail, excellent numeracy skills and be a wonderful multi tasker!
