Our client are a Charity based in South East London. They are looking for an experienced Admin Manager to manage their dynamic administrative team, whilst also managing the building and providing support to one of their Directors. This is to start ASAP and will be an on-going temporary position.

Main responsibilities are:

Facilities management duties:

  • Ensuring the reception area is equipped with the necessary furniture and supplies, as well as ensuring the efficient running of the office systems and a friendly reception service.
  • Liaising with external landlords as appropriate to ensure vehicles and premises used by the department are fit for purpose and well maintained
  • Ensuring that systems are in place to maintain appropriate standards of cleanliness and food hygiene within the premises used by the department
  • Undertake or supervise health and safety and fire-safety responsibilities when required

Finance duties:

  • Assisting with budget preparation, monitoring income and expenditures against original budgets and revising forecasts. Preparing audit information and reports as required
  • Completing appropriate invoice paperwork, ensuring invoices are coded correctly
  • Ensuring income is banked in a timely, safe and secure way
  • Ensuring staff and volunteer expenses are paid on time
  • Undertaking journal transfers when required
  • Ensuring systems are in place to make regular payments to carers or service users

HR Duties:

  • Recruiting, inducting and supervising administrative assistants
  • Maintaining service user records
  • Maintaining staff employment information, e.g. sickness & holiday

Requirements:

  • Highly organised with excellent attention to detail
  • Previous people management experience
  • Previous PA/Admin experience
  • Previous experience using IT packages including Microsoft Excel, Word etc.
  • Experience operating financial systems and monitoring budgets
  • Facilities management and staff management experience
  • Flexible and approachable, able to deal with members of the public as well as senior staff members
  • Ability to manage own workload appropriately
  • Reliable and able to work well to tight deadlines
  • Ability to manage the office and staff in a confidential, innovative and consistent manner. Demonstrating a positive team environment
  • Ability to delegate work effectively
  • Flexible and adaptable, especially with working hours and location
