To provide administrative and tactical support to the Operations team, reporting in to the Operations Manager.

This is a part time role - 20 hours a week which can be flexible

Client Details

Our client is a rapidly expanding company within the Real Estate and Property industry, seeking a Part Time Property Administrator to support the Operations Manager.

Description

As the Part Time Property Administrator you will undertake the following:

    • General office management including: procurement of stationery and catering supplies, effective management of office equipment and efficient troubleshooting

    • Championing the office environment in line with sustainability (office tidiness, sourcing supplies/ suppliers, innovations & ideas)

    • Co-ordination and management of the IT contract, working closely with the Operations Manager to ensure value for money and smooth running of systems

    • Co-ordination and preparation of monthly & quarterly company reports and collation of annual service charge packs

    • Championing and leading on designing monthly Health & Safety focuses for company-wide distribution

    • Supporting both short and long-term projects, taking ownership of areas as required

    • Team co-ordination of priorities to ensure deadlines are met

    • Acting as point of contact for the Property Team regarding appropriate Park wide signage, liaising with the Brand Team to ensure brand alignment at all times

    • Leading on the allocation and management of car parking leases, liaising directly with Guest (tenant) companies where necessary

    • Ownership and delivery of Fire Awareness Training as part of the induction as well as refresher sessions for the Chiswick Park Estate Management (CPEM) Team

    • Ownership of Office Costs budget lines, ensuring accurate recording and maintenance of trackers, and involvement in annual forecasting

    • Raising PO's on behalf of the senior Property Team in line with finance requirements

    • Providing reception cover and further team-wide support where appropriate

  • Undertaking administration of various other items such as permits, compliance, matrixes, policies and procedures, as well as ad hoc business wide support

Profile

The ideal Part Time Property Administrator in Chiswick will be/have:

    • Previous experience in an administrative position

    • Proven organisational skills

    • Ability to manage changing priorities with a flexible approach

  • Proficient use of MS Office (Word, Excel, Outlook and PowerPoint) with general IT skills / knowledge advantageous
  • Excellent communication skills - both written and verbal, with the ability to communicate with a range of different stakeholders
