An international specialist insurer is looking for a PA to the CUO and CFO to join the team on a permanent basis. You will be the glue holding the business together on all things administrative. You will be fundamental in ensuring the business operates effectively so you will need to have a healthy dose of common sense and the ability to be proactive and passionate. You'll act as the gatekeeper to the CUO and CFO with access to diaries and emails, so without question discretion and absolute confidentiality is critical. The CUO travels extensively throughout the year and hence an attention to detail when planning itineraries and setting out schedules is of paramount importance.

Responsibilities:

  • Arranging internal and external meetings and leading all diary management for the CUO and CFO
  • Organising video and conference meetings and assisting with any catering requirements
  • Arranging extensive international travel itineraries including Visa applications
  • Producing complex PowerPoint presentations to a high quality in a timely manner
  • Assisting with the collation and distribution of reports, budgets and minutes
  • Assisting with the monitoring and tracking of the time and entertainment expenses budget
  • Completing expense claims and invoice payment requests and liaise with Accounts department
  • Managing the daily post distribution and photocopying, maintenance of filing and archiving
  • Collaborating as a team by supporting projects that improve administrative support
  • Providing holiday and absence cover for the other secretaries

Essential Skills and Experience:

  • A minimum of 2 years prior experience as a PA
  • Friendly manner, someone who is always approachable and willing to help
  • Excellent organisational and interpersonal skills
  • Experience in organising multi-destination travel itineraries and complex, large meetings
  • Strong time management skills with an ability to work under pressure
  • Advanced Outlook, PowerPoint and Word skills with good working knowledge of Excel
