Supporting the Head of Talent with all aspects of HR, whilst also providing Executive Assistant responsibilities for the COO and 3 Managing Directors.
This is a busy, varied demanding role. This position will suit a driven, compassionate, proactive individual looking to build on their career in an intellectually challenging and fast paced environment.
You will be working alongside and reporting to the Head of Talent
As the Talent Administrator and Executive Assistant you will work independently and provide professional business support to the Head of Talent and Management team.
Key responsibilites:
Learning and Development
Coordination and facilitation of the Learning and Development programme
Oversight of the consultant work processes, ensuring all reviews are given within the required time frames
Coordination and support of the bi-annual consensus review process
Meeting organisation for both the consensus and PDP process
Employee Relations
Creation of all employee related documentation - Draft new joiner/leaver/variation of terms employment paperwork
Obtain new joiner reference details and references
Provide employment and tenancy references
Point of contact on all simple employee HR queries
Engagement
Coordination of the Mentor and Coach programme
Coordination and facilitation of the annual engagement programme
HR Legislation and Systems Maintenance
Ensure all HR systems are updated and accurate
Manage the absence process (sickness and holidays)
Maintain and update the HR guidelines and policies with support from Head of Talent
Process Visa applications for UK employment, and international postings
Ensuring all right to work documentation and accurate filing of employee details and documents
Production of required HR reports, including - Performance statistics download and manipulation
Absence tracking and reporting
Recruitment statistics download and manipulation
PDP requirements
Training course attendance
Executive Assistant Support
Diary and meeting management - Diary management
Meeting coordination with internal colleagues, clients and other third parties
Meeting room bookings
Organisation and facilitation of off-site meetings
Catering organisation and management
Minute taking and management of any event follow up
Filtering and prioritisation of email and phone communication
Material production
Binding of presentation materials
Expenses management
Travel booking (both within and outside of the UK), to include
Restaurant reservations
- Courier and delivery organisation as required
- Support on personal admin when required
Skills/Experience
Solid experience and understanding of HR and the role it plays within a professional services environment
PA/EA support services to client-facing senior executives, ideally in a professional services environment
Experience of working in a fast-paced, commercial, challenging environment
Knowledge of basic employment law and HR best practices
Credibility and confidence with senior stakeholders, with strong interpersonal and communication skills
Ability to work autonomously and possess a flexibility attitude and approach to work
Excellent organisational skills with strong attention to detail
High level of proficiency in Microsoft Outlook and Microsoft Office
