A leading real estate firm in Central London is looking for a bright, bubbly and confident Property Personal Assistant. Fantastic company to work for!

The Personal Assistant will support a Partner and his team.

Very busy team with lots of diary management. Must have relevant experience working in a similar role.

Looking for a Personal assistant / PA who is bright, bubbly and switched on. Great, social environment with other secretaries to call upon if needed.

Ideal candidate must have experience working within a professional services firm ideally within property/construction sector and must have STABLE work history.

PA key responsibilities:

Main responsibilities

 

  • Full range of PA duties for a Partner as well as providing support across the team.
  • Extensive diary management; booking meetings both internally and with clients, and occasionally off site; arranging meeting rooms; and ordering refreshments as and when required.
  • Updating and managing schedules and running reports as directed by Partners.
  • Collating/inputting information, liaising with Planning partners and associates on resourcing used for each of the jobs, collating any quarterly financial information from each of the partner, organising weekly meetings, taking notes of any actions for any of the jobs
  • Answering telephones for and on behalf of partners and fee-earners, taking messages and passing to alternative team members as appropriate.  Dealing with internal and external queries wherever possible.
  • Copy typing up, and formatting, of reports.
  • Completing timesheets for the department on a monthly basis, entering these into the system.
  • Checking company information and creating invoices. Generating invoice numbers and billing guides from the firm's computerised invoicing system and keeping a record of invoices sent.
  • Chasing clients for unpaid bills, where necessary.
  • Maintaining CRM with all new information and activities.
  • Dealing with incoming and outgoing mail.
  • General office duties to ensure the smooth running of the department including filing, copying, binding, scanning and correspondence as and when necessary.
  • Provide cover for the other support staff over holiday periods.

Knowledge & Experience:

  • Highly proficient in all Microsoft programmes including MS Word, PowerPoint, Excel and Outlook - any exposure to design packages definitely a bonus
  • Experience of the Property industry is helpful and having worked in a similar role in a medium sized organisation is essential.
  • Experience of proactively managing diaries of senior fee-earners.
  • Must be able to multi-task and manage multiple priorities.
  • Client relationship management skills
  • Excellent business English both written and oral. 
  • Outstanding attention to detail is essential
