A FTSE 100 property firm in the heart of London is looking for a motivated and dynamic PA to support the London MD- Senior board level.
This is a pure 1:1 role and the ideal candidate must have solid 1:1 board level experience within property/real estate sectors. Will only consider candidates with a stable work history. Must also have experience supporting a board level individual with extensive experience collating/preparing board packs. This must be evident on your CV!
The role will work closely with other Executive’s, their PA’s, CEO and her direct reports so looking for someone with maturity, gravitas and a can do attitude.
This is a traditional PA role, the MD is very professional in her working relationships, demanding by virtue of her role and fairly straightforward in her working style.
Key PA duties:
- Diary management including prioritisation, categorisation, screening diary requests and forward planning.
- Keep London Senior team abreast of availability, upcoming deadlines to help prioritise workload.
- Managing internal and external visitors including managing expectations on MD’s availability.
- Complex management of MD’s email account to include filing, clearing daily email influx, categorising and maintaining the flag (to-do-list) system.
- Draft written responses to emails and correspondence where appropriate and acting as a focal point for all external visitors.
- Managing travel itineraries.
- Prioritise the MD’s’ workload by managing the electronic task system.
- Follow up reminders on outstanding deadlines, such as MD’s actions on Board minutes etc.
- Timely and complete preparation of expense reports.
- Coordinate information for regular reports and prepare Board papers as required. Managing timelines and deadlines for these meetings.
- Preparation for annual results including accurate management of script and presentation slides- liaising closely with Investment Relations and finance.
- Working closely with the other Executive PA’s ensuring good communication throughout the Office.
- Liaising and coordinating with the Investor Relations team around results, preparations and roadshows, assisting when necessary.
- Assisting with key conferences, meetings and training events and coordinate all meetings, room bookings, catering etc. Coordinate presentations and corresponding scripts.
- Screen telephone calls and delegate where appropriate and organise and coordinate conference calls. Team administration including management of holiday and absence/sickness records for the MD and the MD’s direct reports and organising and directing any London team events and away days with the event team.
