A leading Property Consultancy based in the West End is looking for a Team Assistant to work within a dynamic and vibrant retail team.
This role will support a large team at various levels. Fantastic opportunity to join a global brand and really make your mark. Lots of scope to develop within the organisation with excellent training opportunities. Must have experience within property or real estate and must have a stable work history. Minimum 2 years team secretarial experience.
Key Team Assistant duties:
- Raising invoices on the internal finance system.
- Diary management – pro-actively manage busy diaries, make appointments and arrange meeting rooms.
- Assist with the organisation of client and internal events.
- Process expense claims.
- Typing, amending, formatting and binding reports.
- Typing of general correspondence and project notes, audio typing.
- Managing new job set ups - registering new jobs
- Communication with the team on a daily basis, ensuring a high level of awareness of current priorities, whereabouts and projects.
- Manage incoming communication and ensuring that all mail is processed in an accurate and timely manner.
- General administrative duties – including filing, photocopying, opening and distributing the post and archiving.
- Assistance in the preparation of presentations/pitches.
- Arranging travel and ensuring that all work activities are scheduled effectively.
- Telephone liaison – answer client queries, take messages and field calls where appropriate.
- Monitoring attendance, including holiday and sickness records are kept up-to-date
Key person specification:
- Must have excellent organisational skills and exceptional attention to detail
- Good interpersonal skills with a professional attitude
- Ability to prioritise and act on own initiative
- Adaptable, with willingness to learn new systems and develop skills
- Confident and assertive
- Understands and appreciates the importance of using discretion
Must have previous team assistant experience (at least 2 years) within professional services and ideally property or real estate sector. Must also have a steady work history, longevity within roles. Ideally degree educated but this is not essential.
