PA to Chief Administrative Officer for Innovative Firm (12 month Mat cover £45,000 + bens)
Excellent opportunity to get involved in a variety of tasks and projects, not a traditional PA role
Working hours: Monday to Friday, 09.00 – 17:30 (with flexibility where needed)
Vacancy title: 12 month Fixed Term Contract
- Complex diary management, scheduling internal and external meetings/video conferences in
multiple time zones and effectively resolving scheduling conflicts
- Coordinate complex global travel, meeting schedules and itineraries
- Assist with travel arrangements and general support for the CAO’s direct reports
- Prepare, reconcile and submit travel and corporate expenses
- Organise and co-ordinate client events, lunches and dinners where necessary;
- Meet and greet guests/clients in a professional manner
- Maintain relationships with internal and external stakeholders at senior level including clients and
their assistants
- Ensure all committee packs/meeting papers are issued prior to meetings within an appropriate
- timescale
- Support the charity programme and the launch of the volunteering, fundraising and other initiatives
- Assist with space planning/desk moves for the team, when required
JOB DESCRIPTION
- Field calls and deal with enquiries that come in, in the first instance – directing as necessary
- Provide support on technology e.g. presentations, video/tele conferencing
- General administration involving all Microsoft Office applications
- Fulfil any additional / ad hoc duties as required by the CAO to meet the needs of the business
PERSON SPECIFICATION:
- Strong written and verbal communication skills
- Excellent planning skills, well organised and efficient
- Ability to work to strict deadlines and ensure they are met
- Attention to detail with a great deal of accuracy
- Ability to deal with a large amount of information in an efficient manner
- Proactive and able to work without supervision, as well as ability to work well as part of a team
- Ability to learn other skill sets and new technologies as needed
- Strong time management skills
- Polished and professional telephone manner
- Personable with the ability to develop strong working relationships at all levels both internally and externally
- Hands-on problem solver and team player – can coordinate across departments;
- Plenty of initiative - ability to research and find specific facts quickly
Experience:
- Solid PA experience, preferably within a professional Services environment
- Solid understanding/experience of a fast paced and demanding PA position
Skills:
- Excellent MS Office skills (Outlook, Excel, PowerPoint, Word and Adobe)
