  • Full diary management. 
  • Prepare meeting rooms and provide refreshments for all meetings.
  • Travel co-ordination both within the UK and abroad - booking flights, organising visas, taxis and hotels. 
  • Ensure the Executives have correct material and are fully prepared for meetings
  • Act as first point of contact for the Executives; fielding and prioritising calls.
  • Deal with invoices and expenses; coding and processing
  • Look after the HR and Operations Director’s inbox
  • Order stationary and business cards
  • Maintain and update company policies; uploading the most recent versions to the company intranet.
  • Coordinate Operations meetings (e.g. Health and Safety committee meetings)
  • Manage health and safety administration – issue accident report numbers and keep accident spreadsheet up to date.
  • Liaise with HR to organise phones / computers / laptops for new starters
  • Assist with desk allocation and space planning
