Deputy Events Coordinator

St Paul’s Cathedral currently has a vacancy for a Deputy Events Coordinator; part of a small yet pivotal team with a key role in the life of St Paul’s Cathedral. The Events Coordination team controls the St Paul’s Cathedral Diary, and coordinates the planning of special services and events within the Cathedral. Pretty much everything, from liaising with Buckingham Palace to deliver services of national importance to arranging the donkey for the Palm Sunday procession, is arranged through this busy two-person team! An important task is controlling the cathedral diary using the Artifax Event diary management system, and working with the Events Coordinator to develop the Artifax system and the role more generally, and over time to specialise in assisting the planning of a variety of Diocesan, fundraising and other non-corporate events, such as social events and receptions after services.

This is not a conventional event management role, as it is primarily concerned with coordinating across the Cathedral.  The successful candidate in this very busy environment will have administrative experience in a commercial environment, with demonstrable success at events planning. Having the ability to prioritise work on a wide range of projects simultaneously and build strong and effective working relationships with a diverse range of people across the Cathedral are crucial.  You will have good communication skills and experience of Artifax or other comparable diary management software. If you are used to working successfully with confidential information and with complete discretion you may be the special person we are seeking for this unique role.

Main Duties:

  • Management of the cathedral diary; entering and amending bookings; checking existing bookings are accurate and up to date; looking at the forward diary on a regular monthly basis to ensure smooth operations and no clashes
  • Taking organisers and security personnel associated with special services and events on the cathedral floor, on cathedral reconnaissance tours as required
  • Coordinating hospitality events (external meetings, lunches and dinners) in the Crypt or in Chapter House as required
  • Working with external clients and all departments in the Cathedral to ensure that all special events and services are delivered efficiently and to the required standards

The closing date for applications is 29th October 2017 with interviews to be held on 3rd November 2017. If you have not heard from us again within four weeks of the advertised closing date then unfortunately your application has been unsuccessful on this occasion.
