Our client, a leading and rapidly growing name in the Property sector, are seeking a PA to support 2 Directors on a temp to perm basis in their West End office.

Duties:
*To be the gate keeper and first point of contact, both internally and externally, for the Directors, including answering all incoming telephone calls, identifying calls which should/should not be put through, and answering queries personably
*To provide extensive diary management for the Directors; ensuring the diary is kept up-to-date, workable and appropriately prioritised
*To organise basic and complex meetings, of varying scale, both internally and externally; to ensure arrangements such as equipment and refreshments are made, agendas and papers are prepared in advance, dial-in details are arranged and communicated, all attendees receive meeting details and invites, and minutes are taken as required
*To organise travel bookings both domestic and international liaising with the Travel Management Company and internal teams; to ensure appropriate travel and accommodation arrangements are made, currency is organised, and travel itineraries and meeting schedules are prepared
*To manage the process of production and distribution of internal papers (agendas, minutes, recommendations, etc.) and to prepare and format a range of written materials, e. emails, letters, presentations, reports, executive summaries and dictation notes; ensuring the work is produced in an accurate, presentable and appropriate manner
*To devise and maintain effective office systems, including data management and filing
*To carry out background research and present the findings for specific projects as and when required
*To complete business expenses reports on behalf of the Directors as and when required and in line with the company policy
*To deal with sensitive and often highly confidential subjects ensuring confidentiality and common sense is applied at all times to knowledge sharing
*To develop an understanding of the style, interests and work preferences of Directors, in order to meet their requirements and be proactive in avoiding or solving issues and problems
*To provide general ad hoc support to the Sales & Marketing teams as and when required, i. events management, marketing initiatives, etc
*To provide receptionist and administrative assistance to the team of PAs, receptionists and administrators as and when cover or additional support are required
*To undertake other such duties as appropriate to the level and nature of the role.
