We are looking for an exceptional team assistant to start immediately. You will provide full secretarial support to the CFO and finance team. This is a central role in the partnership and you will be extremely organised and immaculately presented with a 'can do' attitude.
This is a fantastic opportunity to work within a boutique finance firm based in luxurious offices in the City. You will play a crucial part in the team and really become integrated and the 'go to' person.
We are looking for a candidate of graduate calibre, someone that can demonstrate excellent organisation skills and will work well under pressure, juggling a variety of tasks. You must be able to maintain composure in a high-pressure environment and be confident in working with people at all levels.
Responsibilities/ Duties
- Supporting members of the Finance Team with their business requirements.
- Reception cover during lunchtimes.
- Scheduling and coordinating international and domestic travel including flights, trains, accommodation and ground transportation.
- Coordinate necessary visa and passport renewals.
- Extensive coordination of busy and complex diaries with continuous changes to schedules, you may have to work across multiple time zones.
- Travel coordination, producing itineraries.
- Prepare and submit team expenses.
- Maintaining the finance team filing systems both electronic and paper.
- Answering phones and directing calls to the appropriate parties in an efficient and professional manner.
- Creating and editing both PowerPoint and Word presentations.
- Typing reports and correspondence.
- Be familiar with the company's Expense and Travel policy and always stay within these boundaries.
- Taking ownership for the smooth running of the 5th floor including meeting and greeting clients/visitors, answering phones, managing the meeting rooms, taking receipt of any deliveries, overseeing the coffee point and stationary supplies.
- Project work for the finance team. For example: drawing organograms, collating legal and financial documentation.
- Additional duties and tasks as required.
