Milan, Italy

A leading Pan-European fund manager that specialises in the logistics sector seeks an experienced Administrator to join the team in the Milan office. This position has become available due to expansion, which speaks volumes in regards to the company itself and development opportunities. This is a dual role of Administration, Team Assistant and Receptionist duties, therefore the successful candidate must be willing to get involved with all three disciplines, as and when required.

Main responsibilities will include but not limited to;

  • Providing team and administrative support to the office
  • Diary management
  • Travel arrangements
  • Filing
  • Undertaking receptionist duties i. telephones, and greeting of visitors, opening weekly conference calls, management of incoming and outgoing post and courier arrangements.
  • Invoicing
  • Processing expenses
  • Managing office supplies
  • IT and office set up for new joiners
  • Assisting in preparation of presentations and documents for internal and external use
  • Assisting with agreements
  • Assisting in the organisation of team events

Skills, Knowledge and Experience

  • High level of IT competence, with strong capabilities using MS Office
  • Eager to learn and develop
  • Experience of providing business support to a dynamic, professional team, dealing with a wide range of issues (in a commercial environment)
  • Proficient in English and Italian, fluency in Spanish or Portuguese would be a plus
  • Excellent organisational skills with the ability to identify priorities whilst maintaining high levels of accuracy
  • Ability to build relationships quickly with colleagues and external stakeholders
  • Collaborative approach and an ability to work efficiently with others
  • Excellent verbal and written communication skills
  • Able to manage own workload in order to meet deadlines
  • Ability to act in a confidential manner
  • Friendly and approachable
