Team Secretary/Assistant to Directors
5 days a week with part-time hours
Based Cardiff
£ Competitive
Working hours are Monday to Friday 1:00pm – 5.30pm (22.5hrs per week).
My client is a leading international architecture practice who are looking for a part-time team secretary to support the directors and teams of architectural and technical staff to ensure the smooth and efficient running of the office. It is essential for the candidate to work as part of the current administration team, sharing work as necessary, to provide seamless support to the office.
Key Responsibilities:
- Providing full administrative and secretarial support to Directors and technical teams as well as a Group Board Director.
- Provide office management service for the Cardiff office.
- Assist in the production of fee proposals, submissions and presentations.
- Maintain the company management system and CRM system.
- Prepare PQQ's and coordinate material and bids with the marketing department.
- Provide confidential assistance to the Architectural Director in relation to company matters.
- Project administration according to company guidelines.
- Prepare, format and print all correspondence for Directors and team.
- Manage diaries and set up meetings for Directors and the team.
- Providing document control (process of issuing drawings and deliverables and managing incoming documents) on projects as requested.
- Extensive contact with clients, consultants and contractors.
- Organise social, client and charity events.
The Person
- Previous Project Assistant / Secretarial experience is essential.
- Experience of working in an architects practice or similar industry would be advantageous.
- Good working knowledge of Word, Excel, Outlook and PowerPoint essential.
- Strong and accurate typing speed.
- Ability to work with web based collaborational tool (training will be given).
