We have a fabulous role for an executive assistant to work for 3 leading figures in a leading property company. The focus will be on diary management. Strong experience of MS Office is essential and a good knowledge of Adobe Acrobat Xpro would be advantageous.

The team spend a great deal of time out of the office and on site so requires a PA with superb organisational skills and the confidence to manage their email inbox.  They are looking for personal qualities as a priority  someone with a positive attitude who is willing to take on additional ad hoc projects as well as superb organisation and people skills. A friendly and outgoing nature and a team spirit – with excellent time management is essential so that attention can be dedicated to  those days when the team are at large.

 

Responsibilities

  •       Organising meetings and maintaining busy diaries
  •       Booking meetings rooms and equipment where required
  •       Arranging travel, accommodation and restaurants where needed
  •       Screening phone calls, enquiries and requests, and handling them when appropriate
  •       Dealing with incoming/outgoing post and couriers

 

  •       Liaising with internal and external teams
  •       Producing documents, reports and presentations
  •       Managing paper and electronic filing
  •       Monitor and organise their email inboxes and project management tools
  •       Carrying out specific projects and research
  •       Co-ordinating events and hospitality
  •       Processing expenses
  •       Inputting contacts
  •       Ensuring the team feel connected to the office whilst they are at large

Requirements

  •       Proven work experience as a personal assistant
  •       Positive and can-do attitude
  •       Friendly personality
  •       Willingness to carry out any task whether large or small
  •       Knowledge of office management systems and procedures
  •       Outstanding organisational and time management skills
  •       Ability to multitask and prioritize daily workload
  •       Excellent verbal and written communications skills
  •       Discretion and confidentiality
  •       Initiative to take on ad hoc tasks

Working hours

Monday to Friday, 08:30-17:00. It may be necessary to work overtime during peak times and when deadlines are close.

Benefits include a Pension 7.5%, Share Scheme, Bonus, 25 days holiday + Christmas.
