Our client a world-renowned arts organisation based in Central London requires an Administrator to start ASAP. This is a temporary role for two months and you need to be immediately available!

Main responsibilities

  • Act as first point of contact and respond to routine enquiries
  • Organise and support meetings and events including: scheduling, preparing agendas, booking meeting rooms, equipment and catering, and taking and circulating minutes.
  • Support the Office Manager in organising the diaries of the Management teams
  • Provide administrative support for HR which will include recruitment, induction, annual leave, absence management, training and development, health and safety and performance review processes and assist staff in using systems and procedures.
  • Booking travel, dealing with expense claims, raise staff advances and returns.
  • Maintaining office supplies and ensure facilities and equipment are maintained and in good order
  • Maintain the filing systems
  • Ensure contact lists are kept up to date, including maintaining web pages and databases of suppliers
  • Assist with the production of management information, creating and running reports as required.
  • Maintain divisional archives and co-ordinate the transfer of documents
  • Administer the procurement of goods and services, managing the corporate credit card process, processing orders and invoices and dealing with purchase and delivery issues.
  • Assist with budget management, including tracking expenditure and reconciling with regular management reports; updating quarterly forecasts and processing accruals at year end.
  • Handle cash as required.

You must have previous admin experience working within a busy office environment. You need to have excellent written and oral communication skills, highly organised, able to prioritise tasks quickly and efficiently to meet deadlines, be a team player and have strong knowledge of all Microsoft packages.
