An independent construction and demolition firm are looking for a Site Administrator to join their team on an ongoing temporary basis. You will be based on-site, working alongside the site team which is typically made up of a Project Manager, Supervisor and the Site Engineer. You will be reporting in to the Project Manager, and will play an integral role in the successful operation of site work, within a very busy environment.

To be successful in this role, you will be an experienced administrator, highly organised, with a strong attention to detail and sound IT and Microsoft Office skills. Having confidence in your own abilities, you will be capable of working to tight deadlines under minimal supervision. An enthusiastic and contributory team member, you will have the ability to communicate effectively.

Responsibilities:

  • Managing all incoming and outgoing goods and materials dockets including purchase orders, muck away and concrete tickets
  • Compiling databases and spreadsheets
  • Taking minutes, both internally and in client progress meetings
  • Compiling progress reports
  • Managing systems including timesheets and preparing for project manager's sign-off
  • Managing on site filing systems
  • Answering telephones and email enquiries from the project managers, clients, suppliers, site staff and head office
  • Creating and maintaining filing systems
  • Keeping diaries and taking appointments for staff
  • Using a variety of software packages to produce correspondence and documents and maintain presentations, spreadsheets and databases including site accounts
  • Ordering and maintaining stationery and equipment supplies
  • Using shorthand and audio tapes or copy typing to produce letters
  • Organising and storing paperwork, documents and computer-based information
  • Assisting the project manager to produce weekly and monthly timesheets
  • Dealing with staff queries and processes for new starters
  • Travelling with the team or manager to take notes at meetings, take dictation and provide general assistance with meetings where required
  • Arranging travel and accommodation where required
